In Pago, work assignments have six different status values.
(1) Scheduling
When you create a new work assignment the initial status is Scheduling. This is the best time to make changes to the work assignment data values (job compensation, products, location, etc.) (2) Use the Edit button to make changes.
Work assignments in the Scheduling status are not visible to Pago Timekeeper mobile app users. When you are ready to show your work assignment to mobile users, you can click the Change Status button and select the Show to Timekeeper option. Once you complete this action, the work assignment will be in the Waiting status.
(2) Waiting
When the work assignment is in the Waiting status, the timekeeper user can see the work assignment and make their own changes. You can click the Change Status button and select the Return to Scheduling option to return the work assignment back to the Scheduling status.
In the Pago Timekeeper mobile app, the timekeeper user can view the work assignment in the Waiting status. When the timekeeper user is ready to start recording employee time, they can select the green plus button and select the Start Timekeeping option. Once the timekeeper user selects the option the work assignment status will change to Timekeeping.
(3) Timekeeping
Once the work assignment is in Timekeeping status, the timekeeper user can start recording employee time and production.
After all of the employee time and production has been recorded for the work assignment, the last step for the timekeeper user is to finish timekeeping for the work assignment.
In the Work Assignment Summary screen, the timekeeper user can tap the green plus button and then select the option Finish Timekeeping. Once the timekeeper user selects this option, the status of the work assignment will change to Submitted.
(4) Submitted
When the timekeeper user changes the work assignment status to Submitted, the status icon will change to a filled in circle. The work assignment is now locked on the mobile device so that the timekeeper user cannot make any changes to the work assignment. The timekeeper user needs to change the work assignment back to Timekeeping status if they want to make any changes.
After the timekeeper user finishes timekeeping and changes the status of the work assignment to Submitted, editing of the work assignment can only be done by Pago web users. If you make changes to the work assignment in Submitted status, the changes will sync to the mobile devices. If you want to hide the work assignment from mobile users, you can click on the Change Status button and select the Hide from Timekeeper option. This action will change the status of the work assignment to Reviewing. Once you take this action, any work assignment changes you make will not sync to the mobile devices and the work assignment will not be visible to mobile users.
(5) Reviewing
While the work assignment is in the Reviewing status, you can make all of your final changes to the work assignment. This is a good time to review and fix any brown exclamation marks that might have appeared. When you have finished all of your work assignment edits, you are ready to run the work assignment through Pago compliance engine. Click the Change Status button and then select the Compliance option.
(6) Compliance
The Pago software platform includes a "compliance engine" that automatically reviews employee time and production data to ensure that employees are compensated in compliance with labor laws. The compliance engine is ran across every work assignment an employee was clocked in for the week. When the Pago compliance engine processes employee time and production data, Pago provides visual indicators to let you know the status of the compliance checks. These visual indicators are visible when viewing crew work assignments and when viewing the employees who are clocked into the work assignments. Once the green checkmark appears indicating the compliance engine has finished running go ahead and mark the work assignment completed. Change the status to to Completed.
(7) Completed
Once you change the work assignment status to Completed, you will no longer be able to make any changes to the work assignment. If you do need to make a change, you need to change the work assignment status back to Review.
