Overview
You can add or update many crews at once by uploading a CSV file. Each row is one crew. If a crew with the same CrewName already exists, it is updated. If not, a new crew is created.
This import sets up the crews themselves. To put employees on crews, see Import crew members.
The whole file is checked before anything is saved. If any row has an error, nothing is imported.
Before you start
- If you name contacts, those employees should already exist. See Import employees.
- Save your file as CSV (comma delimited), encoded as UTF-8 or Unicode.
Preparing your file
Start your file with a header row. With a header row, columns can be in any order, and column names are not case-sensitive. If there is no header row, Pago reads the columns in the order below.
Template: copy the header row below into a new file and save it as a .csv. It has all 4 columns in the order shown in the table. Add one row per crew and delete any optional columns you don't need.
CrewName,CrewCode,PrimaryContactEmployeeNumber,SecondaryContactEmployeeNumber

- Click Close. The Crews list refreshes.
Fixing errors
If there are errors, the window lists each problem row with its line number and the error message. Duplicate rows show in their own table.
| Message | How to fix it |
|---|---|
| Crew Name is required. | Enter a CrewName on every row. |
| Crew Code is required. | Enter a CrewCode on every row. |
| Duplicate record found: '…' appears multiple times in the file. | Each CrewCode can appear only once. Codes are not case-sensitive. |
| Could not parse the request body… | The file is empty or not a valid CSV. Check it has at least one row and is saved as CSV. |
FAQ
How are existing crews matched? By CrewName, exactly, including capitals. Changing a crew's name in the file creates a new crew.
What happens to blank contacts when I update a crew? A blank SecondaryContactEmployeeNumber keeps the current secondary contact. A blank PrimaryContactEmployeeNumber removes the primary contact.
Does this import change who is on the crew? No. Use Import crew members, or the CrewName column in Import employees.
