A crew can either be added manually in Pago or can be imported from your payroll software system (Datatech, Famous Software, etc.). Crew rosters can also be imported. In this article we will be using Pago to manually add a crew.
1. On the top level navigation, click on the Workforce option which will expand and display the Employees and Crews options.
2. Click on the Crews option.
3. Click on the New Crew button.
4. Fill in the crew information. The (1) Crew Name and (2) Crew Code fields are required. Note: depending on which payroll software system you use, the crew code may be included in the payroll detail file created by Pago.
5. Select the Primary Contact option and then select an employee to be the crew's (3) primary contact. This is typically the crew leader.
For this article we will ignore the other tabs, except for the Timekeepers tab.
6. Select the Timekeepers option (5)
Timekeepers are users with a Pago account login who are designated with the role of timekeeper. Timekeeper users login to the Pago Timekeeper mobile app and link Pago badges to employees, manage crew rosters, and record time and production for crews. It is common for a crew leader to be given a Pago account login and for the crew leader to be linked to their own crew.
You can select timekeeper user from the list and then click the Add button to associate them to this crew. Each crew can have multiple timekeepers. When a timekeeper user logs into the Pago Timekeeper mobile app, they will have visibility of the crews that they are associated with. If no Timekeepers are selected for this crew, then this crew's time and production data will not be accessible in the mobile app.
Note: If you do not see the timekeeper user for this crew in the list, you should confirm the user has been created. Employees don't necessary have to be in the crew list to be part of the crew. Employees can be added to work assignments even if they don't belong to that specific crew.
When you are finished entering all of the crew information, click the Save button to continue. You will return to the list of crews and you should see the crew you just added.
7. Now you are ready to add employees to your crew. Adding and removing crew members can be done in the Pago web app or the Pago Timekeeper mobile app. From the list of crews, click on the crew you recently added so that you can add new crew members.
Select employees from the list and then click the Add button to add the selected employee to the crew roster. If you do not see the employee you are looking for in the list, try typing the employee's name or employee id to update the employee list.
